1Security Deposit Amount
A refundable security deposit is required for all reservations. The deposit amount varies by property and is specified on each listing page, typically ranging from EUR 500 to EUR 3,000 depending on the property size, value, and amenities. Properties with premium features such as infinity pools, wine cellars, or high-value furnishings may require a higher deposit, which will be clearly stated before booking. The deposit is collected via a pre-authorisation on your payment card no later than 15 days prior to your check-in date. For bookings made within 15 days of arrival, the pre-authorisation is processed at the time of booking. The pre-authorisation temporarily holds funds on your card but does not constitute a charge unless a deduction is required.
2Inventory & Condition Report
Each property maintains a detailed inventory and condition report that is updated regularly. A copy of the current condition report is available in the property's welcome guide and documents the state of all furnishings, appliances, fixtures, and outdoor areas. Guests are encouraged to review the condition report upon arrival and notify the Sassi Villas concierge team of any discrepancies within the first 12 hours of check-in. Discrepancies reported within this window will be noted and excluded from any post-departure damage assessment. Photographs taken by guests upon arrival are also accepted as evidence of pre-existing conditions. If no discrepancies are reported, the condition report is assumed to be accurate as of the check-in date.
3Property Care Obligations
Guests are expected to treat each property and its contents with reasonable care and respect, as if it were their own home. This includes leaving the property in a reasonably clean and tidy condition upon departure, adhering to any property-specific rules provided at check-in (including pool operation procedures, appliance instructions, and garden care), respecting quiet hours (typically 23:00 to 08:00) and neighbourhood guidelines, disposing of waste in the designated bins and recycling areas, and reporting any maintenance issues promptly to the concierge team. Outdoor furniture, pool equipment, and garden areas should be used in accordance with the instructions provided in your welcome guide. Barbecue and outdoor cooking equipment must be cleaned after use.
4Guest Conduct & House Rules
All guests and visitors must conduct themselves in a manner that is respectful to the property, its neighbours, and the local community. Unauthorised events, parties, or gatherings exceeding the confirmed guest count are strictly prohibited and may result in immediate termination of the reservation without refund. Indoor smoking is prohibited at all properties; designated outdoor smoking areas are provided where applicable, and guests are responsible for proper disposal of smoking materials. Excessive noise, particularly between 23:00 and 08:00, is not permitted and may result in a warning or, in repeated cases, early termination of the stay. Guests are responsible for the conduct of all members of their party, including children and day visitors. Any activity that causes a disturbance to neighbours or results in a complaint to local authorities may incur a penalty of up to EUR 500, deducted from the security deposit.
5Pool & Outdoor Area Safety
Many Sassi Villas properties feature private swimming pools and outdoor areas. Guests use these facilities entirely at their own risk. Children under the age of 12 must be supervised by a responsible adult at all times when in or near the pool area. Diving is prohibited unless the pool is specifically designed and marked for diving. Glass items must not be brought into the pool area. Pool covers, if provided, must be fully retracted before entering the pool and should be replaced overnight during cooler months as instructed. Guests must not adjust pool chemical levels, heating systems, or filtration equipment. Any pool-related concerns should be reported to the concierge team, who will arrange for a technician if necessary. Sassi Villas and the property owner are not liable for injuries resulting from misuse of pool or outdoor facilities.
6Damage Reporting
Any damage to the property, its furnishings, or equipment, whether accidental or otherwise, must be reported to the Sassi Villas concierge team as soon as it occurs or is discovered, by calling the emergency number provided at check-in or emailing support@sassivillas.com. Early reporting allows us to arrange repairs quickly, often reduces costs, and may prevent further damage. Guests are asked to complete a brief incident report with photographs where possible. We understand that accidents happen, and prompt, honest reporting is always appreciated. Failure to report damage does not release the guest from liability; unreported damage discovered during the post-departure inspection may result in a claim against the security deposit and may additionally incur an administrative assessment fee of EUR 50.
7Deductions & Claims
Following your departure, the property is inspected by our local team within 48 hours. If damage beyond normal wear and tear is identified, the cost of repair or replacement will be deducted from your security deposit. You will receive an itemised statement via email with photographic evidence of any damage and the corresponding charges, including receipts or quotes for repairs. Deductions are calculated based on the actual cost of repair or the current replacement value of damaged items, whichever is lower. We do not charge new-for-old. If the cost of damage exceeds the deposit amount, Sassi Villas reserves the right to charge the additional amount to the payment card on file, up to a maximum of EUR 10,000. Guests may dispute any charges within 14 days of receiving the statement by emailing support@sassivillas.com with supporting evidence.
8Deposit Refund
If no damage is found during the post-departure inspection, the pre-authorisation on your payment card is released within 7 business days of check-out. The actual time for funds to appear in your account depends on your bank or card issuer and may take an additional 5 to 10 business days. If a partial deduction is made, the remaining balance is released within the same timeframe. Sassi Villas will provide written confirmation of the deposit release or any deductions made. If you believe your deposit has not been released within the expected timeframe, please contact us at support@sassivillas.com with your booking reference and we will investigate with the payment processor on your behalf.
9Events & Gatherings
Hosting events, celebrations, or gatherings at a Sassi Villas property requires prior written approval from our team, regardless of the number of attendees. Approved events may be subject to an additional event fee, an increased security deposit, specific conditions regarding noise levels and hours, and engagement of approved catering and event management providers. Requests should be submitted at least 30 days before the event date via support@sassivillas.com. Unapproved events discovered during a stay will result in an immediate warning and may lead to early termination of the reservation without refund. The guest will be liable for any additional cleaning, damage, or disturbance costs arising from the event.
10Dispute Resolution
If you disagree with any deduction from your security deposit, you may file a dispute within 14 days of receiving the itemised statement. Disputes should be submitted in writing to support@sassivillas.com and should include your booking reference, a description of the items you are contesting, and any supporting evidence such as photographs taken during your stay. Our team will review the dispute and respond within 10 business days. If the dispute cannot be resolved directly, it may be escalated to mediation in accordance with the dispute resolution process described in our Terms of Service. During the dispute process, any contested amounts will be held in a dedicated escrow account until a resolution is reached.
11Exclusions
The security deposit does not cover loss or damage caused by force majeure events, nor does it cover pre-existing damage documented in the property's condition report or reported by the guest within 12 hours of check-in. Normal wear and tear, including minor scuffs to painted surfaces, light stains on outdoor furniture from normal use, and general use of kitchen equipment, will not result in deposit deductions. The deposit also does not cover structural defects, plumbing or electrical failures attributable to the property's infrastructure, or damage caused by pests unless the infestation is directly attributable to guest behaviour (such as leaving food waste exposed). Any dispute regarding whether damage constitutes normal wear and tear will be assessed by an independent property professional at Sassi Villas's expense.
